Meeting and Event Planning Manager

About the Job

Summary: Reporting to the Vice President of Marketing, and working with Sales and Marketing management, the individual is responsible for the management of all major company trade shows, conventions and sales meetings. Relationship building, collaboration, communication, organizational and administrative skills are essential. This position requires a Marketing background, event planning and meeting management experience are keys to success in a growing dynamic marketing department.

Essential Duties and Responsibilities include the following. Other duties may be assigned

Manage Strategic Direction for Large “National” Meetings and Related Functions:

· All convention management duties

· Oversee Events Calendar – Develop, Manage and Distribute

· Work at least one year in advance with Product Line Directors, Senior Director of Marketing and Heads of various departments to create agendas, coordinate booth messaging and graphics, manage booth assembly, explore association sponsorships and develop and implement meeting plan.

· Hold planning sessions 3-6 months in advance of meeting to set objectives and plan strategies for booth, speakers on the agenda when relevant, related marketing literature and mailings

· Manage details for completing applications and acquiring checks for exhibit space, coordinate registration and hotel arrangements

· Organize related customer functions/dinners

· Distribute Attendee information prior to and during the event

· Establish Budgets, Track Expenses, Process Payments

· Manage purchasing and stocking of give-away items.

· Develop Booth Schedule with Trade Show “Owner” and “Booth Captain”

· Coordinate shipment of product, literature and exhibit props and graphics

· Travel to major shows to oversee set up and dismantling of booth

· Work with outside Exhibit House to coordinate Booth set up and function

· Arrange for lead writing machines to be at the booth

Work with Sales/Marketing on the timely processing and distribution of leads: Oversee system of lead management, ensuring tracking and evaluation of lead quality and ROI

Plan and Manage National Sales Meeting and Major Training Meetings: Work with Sales and Marketing product launches, speaker identification, logistics and management, site assessment and selection, budgets and allocation, venue configuration, hotel rooming reservations, menu/meal planning, general session and breakout rooms, materials, etc.

Contacts Database: Work with Sales and Marketing to develop comprehensive database of company contacts to include exhibit house, advertising agency, meeting attendees, purchased mailing lists, customer attendee lists.

Update Company Web Site: Continually review and evaluate content for accuracy and messaging. Work with internal Marketing Product teams and external vendors to design architecture, develop content and create and incorporate images graphics and content updates including promotions and event postings. Responsible for additional phase launches and maintaining content.

Collateral Management

Coordinate the ordering, stocking, and distribution of Medical Action collateral including Catalogs, Brochures and Sale Sheets

Education and Experience

Bachelor Degree in Marketing or Business Administration, with a minimum of three years of meeting planning management experience.

Strong Administrative and Computer Skills

Demonstrated success in organizing major sales meetings and national trade shows

Effective written and verbal skills

Ability to plan, organize, collaborate and multi-task, with keen attention to detail. Must be able to oversee multiple projects and production schedules simultaneously with application of analytical, logistical and planning skills

Working experience with advertising agencies, graphics companies, web site developers and exhibit firms

Must be willing to travel extensively and work on weekends as needed

Computer Skills

To perform this job successfully, the individual must have strong working knowledge and ability to utilize Microsoft Word, Excel and PowerPoint. SAP operating systems knowledge preferred.
